This notice covers the website, client account, Time To Pet app and all communication and services connected with an enquiry or booking.

Who is responsible

Hondenhotel Amsterdam in Amsterdam-Noord decides why and how client, dog, care and booking data are used and is the controller. For questions, a rights request or our correspondence address, email info@hondenhotel-amsterdam.com. Data normally comes directly from you. If you provide details about a fellow traveller, emergency contact, vet or another person, please inform them and share only what is necessary. Without the required contact, dog and care information we cannot responsibly assess suitability or availability or perform the boarding agreement. Optional consent for publication or marketing is never a condition of care.

Data we process

Depending on your contact and services, this may include:
  • name, email, phone, address, account status, preferences and emergency contact;
  • the dog’s name and photo, age or birth date, breed, sex, neutering, vaccinations, vet, food, medication, behaviour, routines and health or care needs;
  • requests, dates, time windows, status, messages, instructions, transport, travel and handover details;
  • rates, packages, discounts, invoices, balance and payment status. We do not receive full card details when a payment provider processes them directly;
  • technical and security data such as account, login, device, IP, server and audit data where recorded by the website, host or platform.

Purposes and legal bases

We use necessary data to answer questions, manage the account and intake, assess suitability and availability, handle requests and changes, provide safe tailored care, send updates and invoice you. This is based on steps before and performance of the contract. We keep financial administration to meet legal duties. Security, abuse prevention, business continuity, quality control and documenting agreements rely on our legitimate interests, balanced against your rights. We ask for consent before optional publication of identifiable photos or reviews and non-essential marketing; consent can always be withdrawn. We do not make solely automated decisions with legal or similarly significant effects: admission and approval receive human review.

Time To Pet, recipients and international transfers

We use Time To Pet, supplied by Sweet Spearmint Software, LLC, for accounts, scheduling, messages, dog profiles, services and invoices. Hondenhotel Amsterdam determines the purposes of care and booking processing; Time To Pet provides the platform and processes platform data for us, alongside any independent legal, security and administration purposes described in its privacy policy. Hosting, email, IT, payment, accounting or professional providers receive access only where needed. A vet, carrier or authority receives data only where necessary for care, an emergency, transport or law.

Processing outside the EEA: Time To Pet states that platform data is stored in data centres in the United States. The GDPR rules on international transfers therefore also apply. We assess our providers’ contractual and technical protections and limit shared data to what the platform requires. Contact us with questions about this processing or the applicable safeguards.

For online payments, the payment provider shown in the payment screen processes the full card details. Hondenhotel Amsterdam does not receive or store those full card details.

How long we keep data

We do not keep data longer than necessary:
  • a preliminary enquiry normally for no more than 12 months after the last substantive contact;
  • account, dog, care, booking and communication data while the account or client relationship is active. After the last service we periodically review what remains necessary for safe future care, questions or potential claims and erase or anonymise the rest;
  • invoices and tax records generally for 7 years;
  • security and technical logs for the shortest period permitted by host and platform schedules, longer only for an incident or legal claim;
  • records of consent, complaints and disputes for as long as needed to demonstrate choices or claims.
Backups expire through normal overwrite cycles. Data in Time To Pet is also subject to the platform’s technical retention and backup cycles. When data is no longer needed, we erase or anonymise it within our administrative controls and, where necessary, ask the provider to erase it.

Your privacy rights

You may request access, correction, erasure, restriction or portability of your data. You may object to processing based on legitimate interests and withdraw consent for the future. Email info@hondenhotel-amsterdam.com. We normally respond within one month. We request proportionate identity verification only where needed; do not send an identity-document copy unless asked. You may complain to the Dutch Data Protection Authority or another competent European supervisory authority.

Website, cookies and security

The public website uses no advertising or tracking cookies and no analytics tool. Fonts are served locally. For technical delivery and security, the hosting provider may process server data such as IP address, time, requested page, browser and error reports. External links, including Time To Pet, open a service with its own privacy and cookie policy. We restrict access, use secure connections and apply reasonable organisational and technical measures. No system is risk-free; if an incident occurs, we follow the GDPR notification and information duties. We revise this notice when practices, suppliers or law change and show the new date above.

Photography and image rights

All original photographs on this website were taken by us and show real moments of dogs in our care. For presentation purposes, technical edits may have been applied, such as straightening or rotation, cropping, exposure adjustment, colour correction, sharpening, noise reduction or background blur; we do not present fabricated care situations as real. Copyright is held by Hondenhotel Amsterdam. Use, reproduction or publication is not permitted without our prior written permission. Recognisable people are photographed and their images published only with their consent or on another valid legal basis. Photos that clients receive through the secure client app are not automatically published on the website or social media.
